Job Description
Seeking a detail-oriented and proactive experienced Accountant with 5+ years of progressive accounting and business experience. This role is responsible for supporting the monthly close process, preparation of the monthly and quarterly financial reporting packages including quarterly debt compliance certificates, payroll processing, managing accounts payable, ownership of expense tracking and system management, managing accounts receivables including invoicing and collections, and optimizing accounting processes and SOPs. The ideal candidate combines strong analytical skills with a customer service mindset and thrives in a collaborative, fast-paced environment.
Responsibilities
- Support the monthly close process, including reconciling balance sheet accounts and resolving discrepancies
- Prepare, review, and maintain accurate monthly, quarterly, and annual financial statements, including preparation of quarterly debt compliance certificates
- Manage and optimize expense reporting systems, vendor invoice approvals and timely payments
- Manage invoice submissions to clients by leveraging ERP (Sage Intacct) and client portals (SAP Ariba, Coupa, and similar), as well as track available funding on purchase orders
- Assist with new client setup, including submission of Beacon W-9 and related forms
- Work collaboratively with Controller to manage shared email inbox to organize, prioritize, and respond to emails to ensure timely, consistent communication
- Run and oversee payroll processing to ensure accuracy, compliance, and timeliness
- Manage state registrations and compliance requirements, including SUI (State Unemployment Insurance) accounts and other state/local tax registrations
- Ensure ongoing compliance with federal, state, and local payroll tax regulations
- Support financial benefits administration, including 401(k) retirement savings plan reconciliations and audit support
- Continuously improve and optimize accounting processes and Standard Operating Procedures (SOPs)
- Maintain strong internal controls and ensure compliance with accounting policies and regulatory requirements
- Process and maintain accurate payments for 1099 contractors, ensuring proper documentation and compliance for annual preparation of 1099s
- Support annual financial statement audit by gathering documents and responding to auditor inquiries
- Provide responsive internal support regarding payroll, accounts payable, benefits, expenses, and accounting inquiries. Work cross-functionally with Contracts, HR, and Operations departments
- Demonstrate exceptional attention to detail, time management, and organizational skills
Qualifications
- Bachelor’s degree in Accounting, Finance or related field (CPA preferred but not required)
- 5+ years of accounting experience (public accounting or in-house preferred)
- Strong knowledge of GAAP principles
- Experience with revenue and expense management
- Experience with payroll processing, state registrations, and compliance
- Advanced Excel skills
- Proven ability to analyze financial data and communicate insights clearly
- Strong process orientation with the ability to build and document SOPs
- Strong interpersonal and communication skills
- Customer service mindset with a collaborative approach
- High level of integrity and discretion when handling sensitive information
- Experience with Sage Intacct (preferred or will train)
- Experience with Coupa, SAP Ariba or similar invoicing portals (a plus), will train
- Experience with expense management platforms such as Expensify or Concur (a plus)
- Experience with payroll/HRIS systems such as Rippling or similar platforms (preferred)
- Experience managing multi-state payroll and registrations (preferred)
- Experience improving workflows and implementing automation tools
- Must be a US Citizen due to client requirement
