Senior Recruiting Coordinator Role:

  • Location: San Francisco (Hybrid)
  • Employment Type: Full time
  • Department: G&A People
  • Compensation: $160K – $180K plus equity

Role Purpose:

  • Own and elevate the candidate experience to reflect Vapi’s high standards.
  • Take ownership of recruiting operations including interview scheduling, logistics, process execution, and continuous improvement.
  • Help build and scale recruiting operations (RecOps) as the company grows.
  • Manage recruiting data, reporting, and operational insights.
  • Partner with recruiters, hiring managers, leadership, and support recruiting events and pipeline initiatives.
  • Proactively improve processes and solve problems beyond traditional Recruiting Coordinator duties.

Key Responsibilities by Timeline:

  • 30 Days: Manage interview scheduling across time zones; serve as primary candidate contact; maintain ATS hygiene; identify workflow inefficiencies.
  • 60 Days: Own end-to-end candidate logistics; drive recruiting process execution; document SOPs; deliver recruiting insights via reporting.
  • 90 Days: Own recruiting operations analytics; partner on events and employer branding; design scalable systems/processes; maintain world-class candidate experience.

Candidate Profile:

  • 4+ years in recruiting coordination or operations in tech/startup environments with high-volume scheduling.
  • Experience with ATS tools (Ashby, Greenhouse, Lever).
  • Skilled in data/reporting and process building.
  • Strong calendar/logistics management skills.
  • Focused on candidate experience as a craft.
  • Discreet with confidential info; clear and warm communicator.
  • Proactive and hands-on.
