Senior Recruiting Coordinator Role:
- Location: San Francisco (Hybrid)
- Employment Type: Full time
- Department: G&A People
- Compensation: $160K – $180K plus equity
Role Purpose:
- Own and elevate the candidate experience to reflect Vapi’s high standards.
- Take ownership of recruiting operations including interview scheduling, logistics, process execution, and continuous improvement.
- Help build and scale recruiting operations (RecOps) as the company grows.
- Manage recruiting data, reporting, and operational insights.
- Partner with recruiters, hiring managers, leadership, and support recruiting events and pipeline initiatives.
- Proactively improve processes and solve problems beyond traditional Recruiting Coordinator duties.
Key Responsibilities by Timeline:
- 30 Days: Manage interview scheduling across time zones; serve as primary candidate contact; maintain ATS hygiene; identify workflow inefficiencies.
- 60 Days: Own end-to-end candidate logistics; drive recruiting process execution; document SOPs; deliver recruiting insights via reporting.
- 90 Days: Own recruiting operations analytics; partner on events and employer branding; design scalable systems/processes; maintain world-class candidate experience.
Candidate Profile:
- 4+ years in recruiting coordination or operations in tech/startup environments with high-volume scheduling.
- Experience with ATS tools (Ashby, Greenhouse, Lever).
- Skilled in data/reporting and process building.
- Strong calendar/logistics management skills.
- Focused on candidate experience as a craft.
- Discreet with confidential info; clear and warm communicator.
- Proactive and hands-on.
